Bennington College invites applications for Beyond Plastics, seeking a Program and Digital Assistant to provide administrative support to the President of Beyond Plastics on a broad range of organizational functional areas (~75%) and manage updates and optimize Beyond Plastics' social media accounts, as well as digital communications (~25%). The Program and Digital Assistant may also support the work of all staff members within the Beyond Plastics team to ensure effective and efficient coordination of duties and programming. The position is responsible for engaging with staff in a way that ensures a positive and effective experience and engagement, and is responsible for providing a superior customer service experience.

General Responsibilities 

Program Administration

  • Assist in the coordination of all operational and administrative activities of the Beyond Plastics team and provide administrative support to the President of Beyond Plastics and other staff as needed. Handle calendar management, coordinate schedules/meetings, organize work flows, follow up on key meetings/events, take notes at weekly staff meetings. Maintain organization of all functional areas to ensure ease of access of files/information. Ensure confidentiality of sensitive matters. 
  • Assist with day-to-day administrative operations of the Beyond Plastics office. Manage all facts of the administrative functions, database services assignments, internal processes to be able to follow up and follow through on work/assignments (due from team members). Work collaboratively with internal teams to engage and follow up for timely submission of work. Provide assistance to staff as needed regarding travel (i.e., making reservations), meeting arrangements, internal processing of receipts, among other administrative functions.
  • Serve as a welcoming and supportive resource and provide a welcoming environment for all visitors.
  • Process employee expenses (all staff) and credit cards (President and Managing Director) to Bennington College Business Office. Ensure submissions are accurately calculated/approved and comply with internal College processes and are handled in a timely manner (as approved by the designated staff member). 
  • Work with Program Manager to ensure Google Drive is organized in an effective manner, ensuring ease of recall/access for relevant staff. 
  • Track staff and volunteer speaker engagement numbers by following up with staff and charting attendee numbers month over month. Ensure timely and accurate reporting
  • Follow up with staff and volunteer speakers to ensure outstanding speaker fees are received and processed on a monthly basis. 
  • Track online webinar and event RSVPs/attendees for Digital team. Provide timely and accrue reporting. 
  • Reconcile organizational expenses, as well as program budgets, in relation to restricted grant funding. Manage reconciliation of expenses in accordance with established College protocol.

Social Media/Digital

  • Manage social media calendar and edit/post content on various social media platforms  in consultation with the Digital Director. Track metrics using  software such as “Buffer”
  • Post effective and timely content on all major social media platforms including but not limited to:  Instagram, Facebook, X, Blue Sky, Tik  Tock and any major new platforms that emerge. Support the website and serve as a first point of contact for responding to and troubleshooting issues that arise on web properties.
  • Review and publish social media and/or digital submissions. Maintain a schedule to update social media and/or digital content and project manage improvements. Upload news articles and organizational reports to the website, as requested. 
  • Assist the Digital Director with Action Network uploads and data management, including monthly reconciliation of digital gifts.
  • Assist Digital Director with email list re-engagement and ensure lists are updated regularly and maintained accurately.
  • Support additional digital marketing tasks in consultation with the Digital Director, as needed.

This position requires successful completion and acceptable results of a background check.

Qualifications 

  1. Associate degree and general administrative experience required; Bachelor’s degree preferred.
  2. Minimum of 1 year of social media and digital experience required. 
  3. Strong verbal and written communication skills. Excellent interpersonal skills necessary to maintain good relations and open communication with Beyond Plastics staff, Bennington College staff and people and groups who contact the organization. Demonstrated ability to develop/maintain positive relationships. 
  4. Strong problem-solving and time-management skills. 
  5. Must exercise good judgment at all times. Must be able to work with limited direction and handle multiple tasks. Must be able to handle a high volume of work and competing deadlines with ease. Strong listening skills and exceptional organizational skills are required. 
  6. Work requires keen attention to detail, the ability to establish priorities in a changing work environment, and ability to successfully meet deadlines. Ability to multi-task in a fast-paced, team environment and to successfully navigate and flex with changing priorities. 
  7. Advanced computer skills. Ability to adapt to and use changing technology. Microsoft Office Suite, Gmail, Google Drive, and Internet research required. 
  8. Excellent skills editing and posting content on Bluesky, X, Instagram, Facebook, Linkedin, YouTube, TikTok, and Threads. Competent using Buffer.

Work Environment and Requirements

Majority of work is performed in a home office environment, with substantial activities completed using a computer. Some minor travel to staff retreat will be required. Some minor bending/reaching may be required to retrieve files. 

Salary: $50,000 annually
